Personal & Administrative Assistant

A prestigious hedge fund in Greenwich is looking for a driven Personal Assistant to join their close-knit administrative team. In this position, you will work directly under an established Lead Executive Assistant to support two Executives and their families.

• Hours: Monday through Friday, 8:30 AM – 5:00 PM (with slight flexibility based on daily demands (not a true 24/7 or heavy after-hour work role)
• Location: On-site 5 days/week at the Greenwich corporate office (conveniently located near the train station with on-site parking).
• Compensation Range: $80,000 – $130,000 base salary commensurate with experience + annual discretionary bonus
• Benefits: Comprehensive medical and dental coverage fully paid for employees, 15 days’ vacation, 401(k) plan; and a daily lunch stipend

Core Responsibilities:
• Collaborate with the Lead EA to manage busy executive schedules, coordinate domestic/international travel logistics, and maintain personal appointments for the families.
• Manage day-to-day household operations and personal errands, such as handling returns, purchasing gifts, coordinating vehicle maintenance, and managing household vendors.
• Build and maintain comprehensive tracking spreadsheets (using Excel and Google Sheets) for contact directories, seasonal mailing lists, service providers, and administrative trackers.
• Serve as a professional conduit for phone calls and communications with internal leadership, external partners, and household staff.
• Deliver occasional backup support for the office receptionist, covering lunch breaks, conference room logistics, and attendance tracking.
• Execute confidential ad-hoc business and personal projects with absolute discretion and precision.

What We Are Looking For:
• 2 to 15+ years of relevant experience, though we are open to top-tier candidates starting from 1+ year of strong administrative or personal assisting history.
• Enthusiastic and committed to operating in a dedicated #2 support capacity.
• Resilient, adaptable, and tactful when navigating competing requests across multiple principals and family members.
• Outstanding follow-up instincts with an assertive, resourceful approach to problem-solving. Impeccable attention to detail.
• A valid driver's license, clean driving record, and reliable access to a personal car.
