Legal Administrative Assistant
A highly respected, established investment management firm is seeking an experienced Legal Administrative Assistant to join its collaborative Legal team in San Francisco.

Supporting the General Counsel and broader Legal team, this individual will play an integral role in keeping the department organized, responsive, and operating efficiently.

What You’ll Do
- Provide calendar and administrative support to the General Counsel and members of the Legal team
- Coordinate contracts and documents submitted to Legal for review and help manage department workflows
- Serve as a key internal liaison for employees working with the Legal department
- Manage meetings from start to finish, including scheduling, agendas, materials, conference rooms, technology, catering, and guest coordination
- Coordinate domestic and international travel, conference registrations, itineraries, and expense reporting
- Prepare, edit, format, and proofread correspondence, presentations, memoranda, minutes, contracts, procedures, and corporate records
- Maintain corporate records, minute books, powers of attorney, apostilles, and other legal documentation
- Notarize documents and coordinate filings and service requests
- Assist with department events, team activities, and special projects
- Partner closely with administrative professionals across Legal, Compliance, and Risk and provide coverage as needed
- Help the team adopt new technology, software, and AI-enabled tools that improve efficiency
Who We’re Looking For
The ideal candidate is proactive, detail-oriented, service-minded, and exceptionally organized, with the judgment and discretion required to work with confidential information and senior professionals.
You’ll bring:
- 5+ years of relevant administrative experience; financial services or legal environment strongly preferred
- Experience supporting senior-level professionals on a legal team and managing complex calendars, meetings, travel, and expenses
- Excellent written and verbal communication skills
- Strong proofreading and document-production skills
- High proficiency with Microsoft Office, Teams, SharePoint, and Adobe Acrobat
- Comfort learning new technologies and an interest in using AI tools to improve processes
- A calm, flexible approach and the ability to manage competing priorities and deadlines
- Strong judgment, professionalism, and discretion
- Bachelor’s degree preferred
- Current Notary license or willingness to become a Notary
