Executive/Personal Assistant to Managing Partner + lighter support to 3 Partners
Boutique Investment Firm – Midtown
Compensation: $175,000–$225,000 base salary DOE + discretionary bonus + benefits
Schedule: Monday-Friday in office, need to have a 24/7 mindset
The EA needs to be exceptionally sharp, resourceful, proactive, and comfortable operating in an environment where priorities and schedules can change quickly. The MP has an ever-changing schedule and needs someone who can anticipate needs, be proactive, learn preferences and exercise excellent judgment, and consistently remain several steps ahead. Follow-through skills are a MUST.
Need experience with someone that has supported a highly active Founder, CEO, senior investment professional, venture capitalist, hedge fund executive, or similarly demanding principal.
Key Responsibilities
• Own and manage an extremely dynamic and frequently changing calendar, coordinating high-level meetings across investors, executives, business leaders, and other external stakeholders.
• Proactively manage scheduling conflicts, shifting priorities, and last-minute changes with urgency and sound judgment.
• Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, itineraries, and related logistics.
• Manage expense reporting and various administrative and logistical responsibilities.
• Coordinate cars, transportation, reservations, dinners, meetings, and other executive logistics.
• Plan and execute business dinners, events, and gatherings, working directly with restaurants, venues, vendors, and other external partners.
• Serve as a trusted liaison between the Founder, the firm's Partners, employees, investors, vendors, and external contacts.
• Provide occasional administrative and logistical support to other members of the partnership, including dinner and event coordination.
• Handle personal/logistical requests while maintaining appropriate discretion and confidentiality.
• Monitor and manage requests across email, phone, and text, ensuring that priorities are captured, followed through, and completed.
• Troubleshoot technology and administrative issues independently, including working across Gmail, Outlook, calendars, and other productivity platforms.
• Track open items relentlessly and proactively follow up without requiring reminders.
• Anticipate needs before they arise and identify solutions rather than simply flagging problems.
The Ideal Candidate:
This role requires someone who is confident, composed, highly intelligent, and exceptionally organized. The right person will have the judgment to understand what requires immediate attention, what can wait, and what can be handled independently.
They will be comfortable supporting a direct, fast-paced executive and will not be easily rattled by changing priorities or high expectations. A flexible mindset and the ability to adapt quickly are essential.

• Comfortable with an unpredictable and constantly evolving schedule.
• Experience interacting with prominent executives, investors, business leaders, and other high-level stakeholders.
• Able to build trust over time and understand an executive's preferences, habits, and working style.
• Naturally inclined to close loops — following up, confirming details, and ensuring that nothing falls through the cracks.
