Receptionist
A small, family-run real estate firm is seeking a Receptionist/Executive Assistant to serve as the warm and professional first point of contact for visitors and callers. This role is ideal for someone who enjoys working in a quiet, close-knit office environment and takes pride in keeping operations running smoothly.
Key Responsibilities
- Greet clients, visitors, and vendors warmly and professionally, creating a positive first impression
- Answer incoming phone calls, route calls to the appropriate team members, and take accurate messages
- Respond to general inquiries about the firm and direct questions to the appropriate individuals
- Manage scheduling and calendar coordination, including arranging meetings, appointments, and conference calls
- Coordinate calendars and assist with scheduling across multiple team members as needed
- Maintain a clean, organized, and professional reception area
- Monitor office supply inventory and place orders as needed
- Coordinate light office maintenance and service requests, including communicating with vendors and service technicians
- Ensure common areas are clean, tidy, and well stocked, including the coffee station, printer area, and conference/meeting rooms
- Assist with tracking project-related costs and expenses
- Utilize QuickBooks to assist with tracking and organizing costs associated with projects
- Provide general administrative and executive support as needed
- Help ensure the office operates smoothly and professionally on a day-to-day basis

- Organized with strong attention to detail
- Able to juggle simple operational tasks while maintaining a polished front-office presence
