Executive Assistant

We are conducting a search for an experienced Executive Assistant to support a senior business leader and a high-performing team of Managing Directors at a leading global financial services firm in New York City.

This is a highly visible role within a successful, energetic, and close-knit group. The Executive Assistant will join an established administrative team and work collaboratively to provide seamless support across the business.

We are looking for someone who is polished, proactive, warm, and confident, with the ability to manage multiple priorities while maintaining a strong attention to detail. The team has a fun, collegial culture, so someone with an upbeat personality and great sense of humor will fit in particularly well.

What You'll Do
• Manage calendars and scheduling for senior professionals, proactively identifying conflicts and coordinating priorities
• Coordinate domestic travel arrangements and itineraries
• Prepare and process expense reports through Concur
• Partner with other administrative professionals to ensure seamless coverage across the team
• Provide higher-touch administrative support to select senior team members as needed
• Plan and coordinate annual team offsites and events
• Assist with meeting coordination and general day-to-day administrative needs
• Anticipate issues, take initiative, and ensure priorities are handled efficiently
• Provide general office and administrative support to the broader team

Please note: This is a business-focused Executive Assistant position and does not include personal assistant responsibilities.

Who We're Looking For
• Prior Executive Assistant or Administrative Assistant experience supporting senior executives
• Experience within financial services is preferred, but we are open to candidates from other fast-paced, professional environments
• Polished and professional with excellent judgment and discretion
• Confident interacting with senior executives and high-level internal and external stakeholders
• Highly organized with exceptional attention to detail and follow-through
• Proactive, resourceful, and comfortable taking ownership without significant direction
• Strong Microsoft Office skills
• Comfortable working in a dynamic, open-floor environment
• Collaborative and genuinely enjoys being part of an administrative team
• Warm, upbeat personality with a positive attitude and sense of humor

The Opportunity
This is a great opportunity for an Executive Assistant who wants to support a successful senior leadership team without the intensity of constant international travel or heavy personal support.

Core hours are approximately 8:00 AM–5:00 PM, with some flexibility required around occasional travel, conferences, and team events.
