Executive Assistant/Program Manager
A high-growth, global technology platform is seeking a proactive Executive Program Manager / Executive Assistant to directly support a C-suite executive.
This role functions as a true strategic partner, seamlessly combining high-level executive administration with program management, operational oversight, and key strategic initiatives. The ideal candidate brings strong business acumen, low-ego collaboration, and exceptional organizational skills to a fast-paced environment.
Position Type: Full-time | Hybrid (3 days in-office in Midtown East, NYC) or Remote (US East Coast outside of NYC)
Compensation: $125,000 – $150,000 base salary commensurate with experience + annual discretionary bonus + equity + comprehensive benefits package + unlimited PTO
Hours: 9:00 AM – 5:00 PM EST
Key Responsibilities include:
Executive & Administrative Support
• Direct, high-level administrative support to the executive, managing complex calendar logistics across multiple time zones.
• Coordinate extensive international and domestic travel arrangements and process detailed expense reports.
• Serve as the primary, professional gatekeeper and liaison between the executive office, internal teams, and external global stakeholders.
• Prepare meeting agendas, executive briefing materials, presentations, and detailed meeting follow-ups.
• Handle sensitive company and operational data with complete confidentiality and discretion.
Program & Special Project Management
• Own, track, and drive special projects and operational initiatives from inception to completion at the executive’s direction.
• Translate executive priorities into clear action plans, milestones, dependencies, and project timelines.
• Coordinate cross-functional stakeholders across global departments to maintain alignment and ensure deadline execution.
• Draft, edit, and manage executive communications and synthesized status reports for leadership review.
Qualifications
• Experience: 10+ years of experience combining high-level Executive Assistant duties with Program/Project Management, Operations, or Chief of Staff experience.
• Proven track record working with top-level executives (President, COO, CEO, or C-suite) in large, fast-paced global organizations.
• Open to various industries; prior experience in tech, SaaS, digital marketing, advertising, or creative agency environments is highly desirable.
• Advanced proficiency in Microsoft 365 (heavy Outlook, Teams, Word, Excel, PowerPoint) and modern project management tools.
• Exceptionally proactive, collaborative, self-motivated, highly structured, and comfortable navigating dynamic, high-growth environments with low supervision.
