Executive Assistant
A boutique Private Equity firm in NYC is seeking a personable and driven Executive Assistant to join their incredible team! This is a fulltime in office position Monday - Friday working alongside incredibly bright and hardworking individuals.
In this dynamic EA role, you will support both C level executives and Deal team members as well as handle special projects and office coordination.
The ideal candidate is a strong communicator, super organized and professional with a warm demeanor. This is a phenomenal opportunity to learn and grow within a successful financial firm and be part of an amazing company culture!
Your Responsibilities:
• Calendar Management for team members – meetings, zoom calls, dinners, conference calls, etc.
• Travel management and coordination for applicable team members and CEO (flight, car service, hotel, etc.)
• Create monthly expense reports, tracking receipts and coding expenses
• Assist with coordinating and managing conference room calendars and schedules
• Communicate and liaise with clients and external parties
• Work on CRM database to update contacts, assist with vendor onboarding and wire instructions
• Update PowerPoints and deal team materials
• Ad hoc projects and requests for firm events
Your Qualifications:
• Prior experience in an administrative support role within a fast-paced environment, finance preferred
• Self-starter who demonstrates initiative regularly and is a team player with high attention to detail
• Excellent interpersonal and communication skills
• Highly responsive, client service oriented with great follow-through skills
• Experience managing complex travel itineraries, meeting planning and conference calls across different time zones
• Proficient in Microsoft Office
