Executive Assistant to Founders

A hyper-growth AI technology startup based in New York City and backed by Tier-1 venture capital firms is hiring for an Executive Assistant to support their co-founders/Leadership team.

The firm is seeking a high-ownership, highly assertive Executive Assistant to serve as the critical right hand to three co-founders. As our first dedicated EA hire, you will have a front-row seat to a fast-scaling startup and will be responsible for teaching these driven leaders how to best leverage your expertise.

This role requires an individual with a commanding organizational presence - someone who is confident and can proactively manage up rather than waiting for instruction. You will primarily protect and optimize the time of the three founders while providing secondary, ad-hoc operational support to the broader leadership team.

Compensation & Benefits
• Base Salary: $110,000 – $140,000

Schedule & Location
• Location: New York City (Midtown)
• Format: 100% In-Office, Monday through Friday
• Hours: Core hours are typically 8:30 AM – 6:30 PM / 9:00 AM – 7:00 PM. However, a 24/7 responsiveness mentality is required.

Key Responsibilities
• Executive Time Protection: Completely own, filter, and triage complex, rapidly changing calendars for three founders. Deliver meeting preparation materials 24 hours in advance and resolve scheduling conflicts preemptively.
• Communications & Synthesis: Manage high-volume inbound communication channels (including G-Suite and Slack). Synthesize dozens of fast-moving messages in real time, extract key priorities, and draft professional correspondence on behalf of the executives.
• End-to-End Travel Logistics: Oversee extensive travel itineraries, including flights, lodging, ground transportation, and contingencies. Seamlessly manage real-time disruptions and process expenses within 5 business days.
• Cross-Executive Coordination: Keep the founding team aligned on shared commitments, investor events, and board meetings. Route critical information between leaders to ensure alignment.
• Operational Reliability: Manage office vendors, systems, recurring workflows, team off-sites, and executive-level onboarding logistics.

Candidate Profile & Requirements
• 2–5+ years of experience in an EA or high-level administrative role, with a proven track record of supporting multiple senior executives simultaneously.
• High comfort level in a fast-paced, high-standard startup environment. Prior startup experience is strongly preferred, though candidates with exceptional judgment and pace from other industries will be considered.
• Advanced proficiency with G-Suite (Google Calendar/Gmail) and Slack. A strong interest or demonstrated experience in leveraging modern AI tools to maximize personal efficiency is highly valued.
• Exceptional written and verbal communication skills. You must be able to calibrate quickly to the founders' voices and handle highly sensitive, confidential information with absolute discretion.
