Office Services Assistant

A leading global investment firm is seeking a highly polished and service-driven Office Services Assistant to support daily workplace operations in its San Francisco office. This is an excellent opportunity for someone who thrives in a fast-paced, team-oriented environment and takes pride in delivering a best-in-class office experience. Reporting to the Office Manager, this role is integral to ensuring the smooth day-to-day functioning of the office. The ideal candidate is proactive, detail-oriented, and enjoys a hands-on role where no task is too small.

Key Responsibilities
- Provide backup coverage for reception and facilities coordination
- Manage service tickets and ensure timely completion of requests
- Oversee mailroom operations, including sorting, distributing, and shipping packages
- Coordinate meeting and conference room setup and breakdown, including catering support
- Maintain cleanliness and organization of conference rooms and shared office spaces
- Monitor and restock office, kitchen, and conference room supplies
- Support printing, scanning, and administrative requests in line with company policies
- Assist with ad hoc projects and cross-functional initiatives

Qualifications
- Bachelor’s degree preferred
- 2–3+ years of experience in office services, hospitality, or a similar environment (financial services or luxury hospitality experience is a plus)
- Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams)
- Strong organizational skills with exceptional attention to detail
- Service-first mindset with a proactive, can-do attitude
- Ability to multitask and adapt in a fast-paced environment with shifting priorities
- Strong communication skills and ability to interact with employees at all levels
- Comfortable performing hands-on tasks, including stocking supplies, setting up meetings, and maintaining shared spaces
- Ability to stand for extended periods and lift up to 25lbs
