Executive Assistant
Our client is a highly respected global venture capital and private equity firm with a long-standing track record of backing category-defining companies and visionary kind founders. Their Menlo Park team operates with the sophistication and pace of a top-tier investment platform while maintaining the close-knit, collaborative feel of a smaller office. The Executive Assistant will support two General Partners and three additional team members, serving as a critical force behind the team’s efficiency, communication, and execution. The right person will be intellectually curious, highly responsive, and naturally proactive — someone who anticipates needs before they arise, thrives in fast-moving environments, and takes genuine ownership of their work.
This role is ideal for an experienced EA who wants to grow with an exceptional team for the long term and be deeply embedded in a world-class investment environment where precision, judgment, and adaptability matter.
Key Responsibilities
- Manage complex and constantly evolving calendars across multiple senior stakeholders
- Coordinate high-volume scheduling, meetings, and internal/external communications with precision and discretion
- Prioritize competing demands and act as a strategic gatekeeper for leadership time
- Anticipate issues before they arise and proactively drive solutions
- Coordinate domestic and international travel logistics and itineraries
- Maintain seamless day-to-day operations for the team in a fast-paced environment
- Partner closely with firm leadership and the CFO on administrative execution and team coordination
- Build trusted relationships internally and externally with founders, investors, and senior executives
- Operate with exceptional responsiveness, professionalism, and sound judgment under pressure
Ideal Background
- 7 -10+ years of Executive Assistant experience supporting senior executives, partners, or investment professionals
- Experience in venture capital, private equity, investment management, finance
- Proven longevity and stability in prior roles
- Exceptionally organized with strong prioritization instincts and pattern recognition
- Highly responsive and able to pivot quickly when urgent matters arise
- Intellectually sharp, resourceful, and solutions-oriented
- Operates with a true ownership mentality and thinks like a partner to leadership
- Strong communication skills with a polished and professional presence
- Comfortable navigating ambiguity and handling confidential information with discretion
- Team-oriented mindset with a willingness to step in wherever needed
