Executive Assistant/Office Manager
A dynamic and fast-paced finance environment is seeking a polished and proactive Executive Assistant / Office Manager to support senior leadership while ensuring the seamless day-to-day operations of the office. This is a highly visible role for someone who thrives in a collaborative setting, takes pride in creating an organized and welcoming workplace, and brings a thoughtful, solutions-oriented approach to their work.
Responsibilities
• Provide high-level administrative support to multiple executives, managing shifting priorities with ease
• Oversee office operations, including supply management and maintaining a well-organized, functional workspace
• Build and maintain strong relationships across internal teams and external partners
• Serve as a reliable back-up to senior administrative staff as needed
• Coordinate meetings, including scheduling conference rooms, greeting guests, and managing visitor logistics
• Process and track expense reports with accuracy, including receipts and reimbursements
• Arrange complex travel, including flights, accommodations, ground transportation, and necessary documentation
• Maintain and update spreadsheets, trackers, and internal databases
• Assist with planning meetings, events, and team gatherings
• Support a variety of ad hoc projects and operational needs
Qualifications
• Prior experience in an Executive Assistant, Office Manager, or similar administrative role
• Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Comfort working with office systems and tools, including calendars and standard office equipment
• Excellent written and verbal communication skills, with a professional and thoughtful approach
• Highly detail-oriented with strong organizational and time management abilities
• Ability to multitask, prioritize effectively, and adapt in a fast-paced environment
• Proactive and resourceful, with strong problem-solving instincts
• Reliable, discreet, and able to handle sensitive information with professionalism
