Administrative Manager and Corporate Services, VP
A well-established global investment firm is expanding its operational infrastructure and has created a senior leadership role to anchor that effort. With nearly two decades in the industry and a growing headcount across multiple U.S. offices, the firm is looking for a builder — someone energized by designing systems, professionalizing operations, and leading high-performing teams in a fast-moving environment.
Location: New York, NY, In office 4 days/week, 1 day remote
Compensation & benefits
• Base salary: $140,000–$185,000 range (flexibility for exceptional experience)
• Discretionary annual bonus
• Fully covered health insurance premiums for individuals, effective from day one
• 401(k) with 3% employer contribution
• 15 vacation days (accrued) + 7 sick days + 2 volunteer days
What you'll own
• Lead and develop a large, regional team across multiple U.S. locations, setting performance standards, coverage models, and career development pathways
• Design and implement a formal operating model for Administrative Services across the Americas - defining roles, service boundaries, escalation protocols, and workload allocation frameworks
• Build the firm's first enterprise-wide corporate travel program from scratch, including policy development, TMC/vendor selection, duty-of-care protocols, and integration with the EA service model
• Oversee conference services and front-of-house teams, ensuring a consistently excellent experience for internal stakeholders and external guests
• Establish SOPs, governance structures, and KPIs across administrative support, travel, expenses, and executive operations
• Serve as a senior operational partner to firm leadership, managing complex escalations and driving change across a geographically distributed organization
• Own talent lifecycle for the EA community: recruiting, onboarding, coaching, performance management, and long-term succession planning
• Manage vendor relationships and budgets across administrative services, staffing, and corporate travel
What we're looking for
• 5-10+ years in corporate administration management, executive services, or operational leadership roles
• 3+ years managing multi-site teams in complex organizations
• Proven track record designing and implementing enterprise programs - travel, shared services, operational frameworks - from the ground up
• Deep familiarity with executive-level support standards in financial services or a similarly regulated environment
• Experience owning or transforming a corporate travel and expense program
• Comfortable operating with discretion and executive presence in a C-suite-facing capacity
• Strong process orientation - you build governance and controls, not just manage day-to-day
• Ability to influence without authority and drive alignment across a matrixed organization
