Executive Assistant/Office Manager
A high-growth, well-funded Fintech startup is seeking a world-class Executive Assistant & Office Manager to serve as the operational heartbeat of our New York City presence. Backed by top-tier investors, we are modernizing traditional financial trading systems.
This is a high-trust, high-visibility role supporting an Executive Team and a growing NYC office. We are looking for a "force multiplier" who thrives in a fast-paced environment and possesses a "no task too small" mentality.
Key Responsibilities
Executive Support
• Calendar: Own and manage complex calendars for 5 Executive team members (including the CEO and CTO), prioritizing ruthlessly and closing loops autonomously.
• Travel Logistics: Coordinate heavy domestic and international travel with seamless, end-to-end execution.
• Personal Support: Handle personal work for the CEO, including reservations and private appointments.
• Gatekeeping: Act as the primary filter for the executive team, protecting their time with sound judgment and high EQ.
Office Management & Operations
• Facility Oversight: Serve as the face of the NYC office, managing our move into a brand-new space this summer.
• Daily Logistics: Manage vendors, stock supplies, accept deliveries, and coordinate with construction/facilities managers.
• Event Coordination: Partner with the West Coast-based Operations Manager to host NY-based events, manage company merch, and assist with employee onboarding.
• Financial Admin: Prepare accurate expense reports and manage office budgets/invoices.
Who You Are
• Experience: 5–10+ years of experience supporting C-suite executives, preferably within investment banking, hedge funds, or high-growth tech startups.
• Mindset: You have a "get it done" attitude and work exceptionally well autonomously. Since the core Ops/Exec teams are remote, you are the boots-on-the-ground leader in NYC.
• Discretion: You handle sensitive and confidential information with absolute integrity.
• Adaptability: You are comfortable with "24/7 mentality" flexibility and are excited to help build out a new physical office space.
• Technical Proficiency: Expert-level skills in Google Workspace, Slack, Notion, and modern expense management tools.
