Executive Assistant/Office Manager

Our client is a premier venture capital firm known for partnering with visionary founders and building category-defining companies. With a strong presence across major markets, the firm operates at a fast pace and prides itself on excellence, discretion, and a highly collaborative culture. The San Francisco office plays a key role in the firm’s ecosystem and serves as a hub for leadership, founders, and investors.

The Opportunity
This is a highly visible, dual-impact role combining executive support with full ownership of office operations. You’ll serve as a trusted partner to senior leadership while also acting as the face and backbone of the San Francisco office. This position is ideal for someone who thrives in a polished, fast-moving environment and takes pride in creating seamless, high-touch experiences for both internal and external stakeholders.

You’ll have the opportunity to shape the day-to-day office environment, build efficient processes, and contribute to a culture of excellence — all while supporting high-level executives and gaining exposure to the venture ecosystem.

Key Responsibilities:
Executive Support
- Manage complex calendars with precision; prioritize competing demands and resolve conflicts proactively
- Monitor and triage inboxes, flagging high-priority and time-sensitive communications
- Coordinate meetings across internal teams, portfolio companies, and external stakeholders, including recurring meetings and quarterly board meetings
- Arrange domestic and international travel, ensuring seamless logistics
- Prepare and submit timely, accurate expense reports
- Partner closely with EA teams across multiple offices (SF, NYC, Boston)

Office Management
- Own the day-to-day operations of the San Francisco office, maintaining an exceptional standard across all spaces
- Serve as the primary point of contact for visitors, vendors, deliveries, and building management
- Manage office supplies, pantry stocking, and daily lunch coordination
- Troubleshoot IT and equipment issues, liaising with external vendors as needed
- Support internal events, meetings, and offsites; assist with firmwide initiatives and provide backup EA support as needed

Ideal Background:
- 3+ years of administrative experience, including exposure to office management or operations in the finance industry
- Experience supporting executives in a fast-paced, professional environment
- Highly organized with exceptional attention to detail and follow-through
- Polished, professional presence with strong communication and interpersonal skills
- Proactive and resourceful; able to anticipate needs and solve problems independently
- Demonstrated ability to manage multiple priorities and remain composed under pressure
- High level of discretion and integrity when handling confidential information
- Proficiency in Microsoft Office Suite and Google Workspace
- Bachelor’s degree strongly preferred
