Temp to Perm Executive Assistant
A well-established membership-based nonprofit organization headquartered in Midtown Manhattan is seeking a highly organized and adaptable Executive Assistant to support their CEO.
Midtown Manhattan, NYC (Hybrid)
Responsibilities
- Manage and coordinate the CEO’s complex calendar, including internal and external meetings and scheduling priorities
- Support the day-to-day operations of the Executive Office
- Prepare meeting materials, briefing documents, agendas, and follow-up items
- Coordinate Board of Directors and committee meetings, including logistics and materials preparation
- Track key initiatives, deadlines, and ongoing commitments
- Arrange domestic travel and provide onsite support for events and 3–4 annual conferences requiring overnight travel
- Maintain executive and member information across internal systems, including iMIS, OnBoard, and SharePoint
- Support CEO-led initiatives, special projects, and external outreach efforts
- Manage expense reporting and monthly reconciliation
- Serve as the initial point of contact for headquarters rental inquiries
- Provide additional administrative support and special projects as needed
Qualifications
- Bachelor’s degree required
- 3–5+ years of experience supporting senior executives or C-level leadership
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines
- Strong judgment and discretion when handling confidential information
- Excellent written and verbal communication skills; writing samples will be required
- Professional, dependable, and calm under pressure
- Collaborative team player with a proactive mindset
- Proficiency in Microsoft Office Suite, Zoom, and virtual meeting platforms
- Experience with or ability to quickly learn platforms such as OnBoard, iMIS, Constant Contact, and Broadcast
