Executive Assistant
Our client, a prestigious global investment firm, is seeking an experienced Executive Assistant to support senior executives in a fast paced, global environment. This role requires strong judgment, confidentiality, and the ability to anticipate needs while managing complex schedules, communications, and priorities. You will serve as a trusted partner who ensures executives are prepared, organized, and able to operate efficiently. This is a non-exempt role.
Key Responsibilities
• Manage complex, rapidly changing calendars across multiple time zones.
• Coordinate internal and external meetings, logistics, and materials.
• Prepare briefs, correspondence, presentations, and confidential documents.
• Arrange detailed domestic and international travel, including contingency planning.
• Process expenses accurately and in a timely manner.
• Serve as a liaison to internal and external stakeholders with professionalism and discretion.
• Partner closely with other administrative staff to ensure seamless coverage.
• Support special projects, leadership initiatives, and events.
• Identify opportunities to streamline workflows and enhance executive efficiency.
• Provide occasional early morning, evening, or urgent support as needed.
Qualifications
• Prior experience supporting C-suite leadership.
• Experience within large, global organizations; background in professional or financial services preferred.
• Strong judgment, confidentiality, and ability to anticipate needs.
• Excellent written and verbal communication skills.
• Highly organized, detail oriented, and able to manage multiple priorities.
• Advanced proficiency in Microsoft Office, especially Outlook, PowerPoint, and Word.
• Proven ability to work independently in high pressure, fast moving environments.
• Strong collaboration skills and willingness to support team coverage.
• Flexibility to adjust hours based on executive schedules.
• Bachelor’s degree preferred or equivalent experience.
