Executive Assistant
Our client, a prestigious global investment firm, is seeking an experienced Executive Assistant to support senior executives in a fast‑paced, global environment. This role requires strong judgment, confidentiality, and the ability to anticipate needs while managing complex schedules, communications, and priorities. You will serve as a trusted partner who ensures executives are prepared, organized, and able to operate efficiently. This is a non-exempt role.
Key Responsibilities
- Manage complex, rapidly changing calendars across multiple time zones.
- Coordinate internal and external meetings, logistics, and materials.
- Prepare briefs, correspondence, presentations, and confidential documents.
- Arrange detailed domestic and international travel, including contingency planning.
- Process expenses accurately and in a timely manner.
- Serve as a liaison to internal and external stakeholders with professionalism and discretion.
- Partner closely with other administrative staff to ensure seamless coverage.
- Support special projects, leadership initiatives, and events.
- Identify opportunities to streamline workflows and enhance executive efficiency.
- Provide occasional early‑morning, evening, or urgent support as needed.
Qualifications
- Prior experience supporting C-suite leadership.
- Experience within large, global organizations; background in professional or financial services preferred.
- Strong judgment, confidentiality, and ability to anticipate needs.
- Excellent written and verbal communication skills.
- Highly organized, detail‑oriented, and able to manage multiple priorities.
- Advanced proficiency in Microsoft Office, especially Outlook, PowerPoint, and Word.
- Proven ability to work independently in high‑pressure, fast‑moving environments.
- Strong collaboration skills and willingness to support team coverage.
- Flexibility to adjust hours based on executive schedules.
- Bachelor’s degree preferred or equivalent experience.
