Executive Support Specialist
A boutique, mission-driven litigation law firm is hiring for an Executive Support Specialist to support the C-Suite in their NYC office. They are seeking a motivated and talented administrative professional to join their team.
Salary commensurate with experience: $120,000 - $150,000 + paid overtime + discretionary bonus + excellent benefits package + free lunch onsite a few days/week
Location: This role is based in office Monday – Friday in Midtown
Hours: 9:00 a.m. – 6:00 p.m. daily with flexibility as needed
Responsibilities include:
- Provides administrative support to firm leadership
- Manages meeting agendas and leadership schedules
- Schedules meetings and calls
- Screens phone calls and emails
- Prepares expense reports and billing statements
- Manages complex calendars
- Supports ad hoc projects as needed
- Maintains and updates data trackers and reports
- Sends mail and packages for the office
- Arranges travel and manages travel plan changes as needed
- Maintains appropriate records for files, insurance claims, and internal records
- Assists with new client intake processes
Qualifications:
- 5-7+ years of administrative support; experience within a law firm is a plus
- Must have longevity on resume – no job hoppers!
- Bachelor’s degree is preferred
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
- Strong communication and organizations skills with exceptional attention to detail and ability to prioritize
- Ability to work flexible hours and handle sensitive documentation with discretion
