Executive Assistant – Prestigious law firm

A premier, high-stakes boutique litigation public interest law firm is seeking a sophisticated and proactive Executive Assistant to join our New York office. This role is designed for a career administrative professional who thrives in a mission-driven environment and excels at supporting high-level leadership.

Location: Midtown Manhattan, 100% Onsite (Monday – Friday)

Compensation: $120,000 – $150,000 base (DOE) + paid OT + Bonus + excellent paid benefits

Standard Hours: 9:00 a.m. – 6:00 p.m. (Flexibility required during peak litigation periods).

Key Responsibilities
• Executive Partnership: Provide high-level administrative and project-based support to the Managing Partner and Chief of Staff.
• Calendar & Logistics: Direct complex calendar management, including scheduling across time zones and coordinating intricate travel arrangements (with the agility to handle last-minute changes).
• Document Production: Draft and proofread routine correspondence, legal documents, and memoranda; manage data trackers and generate detailed reports in Excel.
• Financial Administration: Facilitate the new client intake process, enter billable time, and manage expense reporting and billing statements.
• Specialized Support: Handle sensitive medical insurance claim submissions and reconciliation with absolute discretion and meticulous record-keeping.
• Operational Flow: Manage phone communications, oversee mail/FedEx logistics, and maintain organized digital and physical filing systems.
• Team Collaboration: Act as a reliable backup for other EAs, ensuring seamless coverage and a "no task is too small" approach to firm-wide success.

Candidate Requirements
• Minimum of 5 years of administrative experience within a law firm supporting Partner-level executives.
• Bachelor’s degree is preferred.
• Advanced proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and experience with document management and time-and-billing systems.
• Proven ability to handle highly sensitive, confidential information with the utmost professional judgment.
• Exceptional grammar, spelling, and proofreading skills; ability to communicate status updates clearly and proactively.
• A "can-do" attitude with the ability to anticipate needs before they arise. You should be comfortable in a fast-paced environment where priorities shift quickly.
