Office Coordinator

Our client, a global investment company that transforms businesses, is seeking an Office Coordinator to elevate the day-to-day experience of their San Francisco office. This role blends hospitality, operations, and administrative support — ensuring the environment is professional, efficient, and welcoming for employees and guests alike.

Key Responsibilities

Hospitality & Guest Experience
- Welcome and support employees and visitors with professionalism and warmth
- Deliver seamless guest logistics, including check-in and meeting support
- Anticipate needs and proactively elevate workplace experience
- Maintain access and security protocols for all visitors

Office Operations
- Maintain consistent and polished front desk presence
- Manage conference room scheduling and resolve conflicts in real time
- Ensure office, kitchen, and meeting areas are fully stocked and organized
- Identify and address facility needs to uphold a high standard of excellence

Administrative Support
- Assist with expense reports and administrative requests
- Handle incoming mail, packages, and vendor coordination
- Support meeting and event preparation and execution
- Order and track supplies and refreshments for the office

Qualifications
- 1–2+ years in hospitality, customer service, or office coordination roles
- Strong communication and interpersonal skills
- Excellent organization and ability to multitask under pressure
- Dependable, proactive, and solutions-oriented mindset
- Professional presence and positive attitude

Preferred Experience
- Luxury hospitality or executive office environments
- Experience with booking or access management tools
- Working with global or distributed teams
