Family Office Manager
Seeking a Family Office Manager to run the day-to-day operations of a family office and directly support a senior principal. This is a trusted, owner-level role, and the person in it becomes the operating backbone of the office, the single point of accountability for the books across multiple entities, for the principal’s time and commitments, and for keeping both business and personal matters moving forward.
Seeking candidates who are sharp with numbers, calm under pressure, and genuinely discreet. Above all, we need a builder of order: someone who walks into imperfect systems, incomplete records, and scattered information and quietly turns them into something clean, reliable, and easy to work from. We also expect daily, fluent use of modern AI tools as a core part of how you work. This is not a role for someone who wants to grow into AI fluency; you should already be there.
Key Responsibilities
Bookkeeping & Financial Operations
• Manage full-cycle bookkeeping across multiple entities, including intercompany transactions.
• Oversee AP/AR: ensure timely payments, invoicing, and collections.
• Perform monthly reconciliations and maintain accurate general ledgers.
• Lead monthly, quarterly, and annual close; deliver clear financial reports.
• Monitor cash flow across entities and manage banking relationships.
• Review expenses against budgets and prior periods; flag discrepancies.
• Coordinate tax filings with external advisors and maintain audit-ready records.
Executive & Office Support
• Manage the principal’s calendar, scheduling, and meeting preparation.
• Coordinate end-to-end travel and detailed itineraries.
• Draft and edit communications, briefings, and presentations.
• Track projects, deadlines, and priorities; proactively flag risks.
• Handle personal and household logistics as needed.
• Act as primary point of contact, filtering and prioritizing inquiries.
AI-Enabled Workflow
• Use AI tools daily to draft content, summarize information, and accelerate research.
• Apply AI to financial workflows (transaction categorization, invoice parsing, reporting).
• Build prompts, templates, and automations to improve efficiency.
• Validate AI outputs, especially for financial or sensitive data.
• Identify and implement practical AI-driven process improvements.
Qualifications
Required
• 6–8 years of experience in bookkeeping and executive/operational support.
• Experience managing books across multiple entities.
• Proficiency with accounting systems (e.g., QuickBooks, NetSuite, Sage Intacct).
• Advanced Excel skills (pivot tables, lookups, complex formulas).
• Active, hands-on use of AI tools in daily work.
• Strong knowledge of US GAAP and tax coordination.
• Proven discretion handling confidential information.
Preferred
• Experience in family office, private wealth, or similar environments.
• Bachelor’s degree in accounting, finance, or related field.
• Familiarity with modern finance tools (e.g., Bill.com, Ramp, Brex).
• Experience with automation tools (e.g., Zapier, Make, Power Automate).
• Highly detail-oriented, proactive, and organized.
• Strong communication skills and professional judgment.
• Adaptable, resourceful, and comfortable managing competing priorities.
• Collaborative, low-ego mindset with strong curiosity for improving systems.
Employment Details
• Location: Dallas–Fort Worth, TX is preferred, with a hybrid in-office schedule. We are also genuinely open to strong remote candidates anywhere in the U.S.
• Employment Type: Direct Hire, Full-Time.
