Office Manager

A well-capitalized, rapidly scaling AI-driven technology company is hiring an Office Manager to support its New York City office. The team operates with urgency, intellectual curiosity, and a strong in-person culture, and is looking for someone who can serve as the operational backbone of the office. This is an incredible chance to start at the ground level as opportunities are endless as the firm scales.

This role is responsible for ensuring the workplace runs smoothly, efficiently, and at a high standard. You will manage the day-to-day logistics that allow the team to stay focused and productive, while also contributing to a positive and engaging office environment. The scope ranges from facilities and vendor coordination to employee experience, inventory management, and light technical support.

Location: On-site, 5 days per week (Manhattan)

Compensation: $100-135k + Bonus eligible

Key Responsibilities

  • Maintain overall office operations, ensuring the space is organized, functional, and well-maintained
  • Oversee purchasing and inventory management for office and kitchen supplies
  • Act as the primary liaison with building management and service providers
  • Provide basic technical support and coordinate with IT for more complex issues
  • Manage vendor relationships across services such as cleaning, catering, and office supplies
  • Track expenses, process invoices, and monitor the office operations budget
  • Support contract negotiations and cost management with external partners
  • Coordinate logistics for internal meetings and client visits, including room setup and catering
  • Assist in planning company events, including team gatherings, offsites, and celebrations
  • Contribute to initiatives that enhance employee engagement and office culture
  • Ensure a professional, organized experience for all guests and visitors
  • Oversee mail, deliveries, office access, and general security procedures
  • Support onboarding by preparing workstations, equipment, and welcome materials for new hires
  • Oversee projects such as office expansion, moves, procurement etc.

Background & Experience

  • 4+ years in office management, workplace operations, or similar roles, preferably within a startup or high-growth environment
  • Strong organizational and communication skills
  • Experience managing vendors and overseeing budgets
  • Comfortable using Microsoft Office, Google Workspace, and basic IT systems
