Facilities/Office Coordinator

A global real estate firm is hiring for an Office/Facilities Coordinator to work at their NYC HQ. The coordinator will be responsible for supporting the day-to-day facilities and manages vendor coordination, space planning initiatives, and office operations in a fast-paced environment. The ideal candidate is organized, responsive, proactive and professional.

Compensation: $65–70K + discretionary bonus + paid overtime + excellent benefits package, they have breakfast daily/snacks and great perks
Schedule: In office Monday – Friday in Midtown NYC working 9am–5pm

Qualifications:

  • 1+ year of relevant larger, corporate office experience
  • Polished/professional and buttoned up – not wearing a suit, but business casual/professional
  • BS/BA degree required
  • Someone who operates well in a very fast paced culture
  • Must be Type A personality – very strong attention to detail
  • Must be very proactive - someone who will see an issue or a problem that needs fixing and get it fixed and solved and take ownership

Responsibilities include:

  • Manage facilities work and building-related service requests and maintain a list of all maintenance items that need to be completed
  • Conduct regular office walkthroughs to ensure our facilities meet the firm’s high standards and perform frequent checks of high visibility areas
  • Liaise with external vendors for maintenance, office improvements, and special projects
  • Support space planning initiatives
  • Coordinate with reception for visitor seating requests and conduct office tours for new hires
  • Receive requests and delegate appropriately across engineering, mailroom, reception, and vendor teams
  • Partner with internal affiliate groups to plan and execute office-wide events and programming
  • Organize, schedule, and manage in-office events including happy hours, lunch events, and employee engagement initiatives
  • Coordinate with external vendors and internal stakeholders to ensure seamless event execution
  • Manage end-to-end event logistics including space setup, catering, communications, day-of coordination, and post-event breakdown and restoration
