Executive Assistant

The Executive Assistant will provide high level administrative and operational support to the CEO of a leading, fast paced creative organization. This role manages the executive’s daily workflow, coordinates internal and external communications, and ensures seamless execution of projects, meetings, and company initiatives. The position requires excellent judgment, strong organizational skills, and the ability to adapt within a dynamic, deadline driven environment.

Key Responsibilities
• Oversee and prioritize a complex executive calendar, including scheduling meetings, preparing agendas, and capturing detailed meeting notes.
• Coordinate domestic and international travel, itineraries, and expense reconciliation.
• Serve as a point of contact for internal teams, clients, partners, and vendors, handling sensitive information with discretion.
• Draft and edit written materials, including internal documents, presentations, and content for digital platforms such as social media, websites, and company announcements.
• Support office operations, including visitor reception, supply management, and maintaining organized filing systems.
• Lead planning and execution of internal events, team gatherings, and workplace hospitality efforts.
• Assist with project coordination for marketing, production, and experiential initiatives.
• Provide on site support at company events, including logistics, guest management, and production assistance.
• Recruit, onboard, and oversee interns to ensure positive learning experiences and workflow support.
• Conduct research, track incoming projects, and compile relevant summaries or recommendations.
• Maintain timely communication and information flow across teams.

Requirements
• Bachelor’s degree preferred, ideally in business, communications, marketing, or a related field.
• 5+ years of experience supporting senior executives.
• Exceptional written and verbal communication abilities.
• Proven capacity to manage multiple concurrent priorities with tight deadlines.
• Strong organizational skills and meticulous attention to detail.
• Proficiency across Microsoft Office, Google Workspace, and Mac/Apple environments.
• Willingness to work occasional evenings, weekends, and travel as business needs require.
• Reliable personal transportation for periodic off site errands.
• Ability to work in a hybrid schedule and be physically present in an office environment multiple days per week.
• Comfort with event based physical activity, including extended standing/walking and lifting up to 35–50 lbs when needed.
