Executive Assistant to CEO | San Ramon
Our client, a mission-driven healthcare nonprofit, is seeking a highly experienced Executive Assistant to serve as a strategic partner to the CEO. They are searching for an experienced, highly professional individual who understands the demands and expectations of supporting executive leadership at the highest level.
The Executive Assistant will work directly with the CEO and C-level executives, providing high-level administrative and strategic support in a fast-paced, complex environment. This individual must exercise sound judgment, operate with complete discretion, and demonstrate the ability to manage competing priorities with professionalism and precision.
Full-time, onsite in San Ramon, CA
$120,000k - 175,000 + Excellent Benefits
Responsibilities
- Manage complex and ever-changing executive calendars, ensuring strategic prioritization of meetings, travel, and commitments
- Coordinate domestic and international travel arrangements, including detailed itineraries, ground transportation, and real-time adjustments
- Manage high-volume email correspondence, triage communications, and maintain an organized system for tracking priorities
- Draft, edit, and proofread internal and external correspondence, reports, presentations, and formal business documents
- Serve as primary gatekeeper for the CEO, managing calls, emails, and requests with professionalism and sound judgment
- Maintain and safeguard confidential corporate, legal, and financial files with strict discretion
- Track multiple projects simultaneously and provide ongoing status updates to ensure deadlines and deliverables are met
- Conduct research, compile data, and summarize findings to support executive decision-making
- Coordinate logistics for executive participation in professional organizations, industry events, and external meetings
- Facilitate communication between the CEO and internal teams across multiple regions
- Support strategic initiatives and task forces by monitoring timelines and ensuring completion of action items
- Handle sensitive matters with confidentiality, tact, and diplomacy
- Assist with executive logistics and occasional personal-related coordination as needed
Qualifications
- 5–7+ years of experience supporting a CEO
- Experience in a large Healthcare organization required
- Highly professional, poised, and exceptionally detail-oriented
- Strong business writing, grammar, and research skills
- Advanced proficiency in Microsoft Office and Outlook
- Demonstrated ability to anticipate executive needs and operate independently
- High degree of confidentiality and sound judgment
- Adaptable, collaborative, and able to thrive in a fast-moving environment
- Available to respond to needs during off -hours
