Executive Assistant to CEO
We are seeking an exceptional Executive Assistant to support the CEO of a leading global venture capital firm. This is a mission-critical role for a fast-moving, high-stakes environment—ideal for someone who thrives in proximity to influence, complexity, and constant change.
You’ll sit within the Office of the CEO, a small, tight-knit team that operates as the nerve center of the firm. The CEO is deeply engaged across investments, portfolio companies, and a family office, with a schedule that changes by the hour. This role requires speed, discretion, strong judgment, and a steady presence amid intensity.
The Role
This is a true right-hand EA role, with close coordination across time zones and partnership with another senior EA based internationally.
Key responsibilities include:
- Heavy, high-volume calendar management for an extremely busy CEO with overlapping priorities and frequent changes
- Proactively managing scheduling conflicts, anticipating bottlenecks, and protecting the CEO’s time and energy
- Coordinating complex domestic and international travel (private and commercial)
- Acting as a thoughtful gatekeeper—filtering information, prioritizing requests, and presenting decisions clearly and concisely
- Supporting personal and family-office-related needs in close collaboration with internal teams
- Staying one step ahead: noticing issues before they arise and solving them quickly, often without direction
What Success Looks Like
- You move fast, and you’re comfortable making smart calls in motion.
- You demonstrate excellent judgment and empathy, especially when managing an intense, demanding schedule
- You think holistically about the CEO’s day, week, and travel—flagging overbooking, building in recovery time, and handling details that allow them to operate at peak performance
- You remain calm, discreet, and solutions-oriented, even when plans change at the last minute
The Ideal Candidate
- Proven experience supporting a highly visible, high-performing executive CEO within the finance industry
- Exceptional organizational and prioritization skills
- Ability to operate with discretion, confidence, and minimal direction
- Comfortable working across time zones and with senior stakeholders
- Anticipatory by nature—you see around corners and act before issues escalate
- Maintains a 24/7 mentality with quick response rate
- Flexible to work between SF and Atherton office locations based on executive's needs
- Holds a Bachelor's degree
