Executive Assistant - Two Senior Executives

One of the world's leading Investment firms is hiring for an Executive Assistant to support two high level and visible Sr. Executives in their New York office.

They are seeking someone highly experienced in a senior level support role who can maintain the utmost level of discretion and confidentiality. Someone who is high energy, extremely professional, engaging & polished to interact with clients on their behalf. A team-player mentality is a must in this role as they lead an incredible team and are looking for a true partner and collaborator.

In this role, the EA will be representing the executives. This means that confidence, polished communications skills, and professionalism are a must. This person must be a gatekeeper and feel comfortable speaking with high profile individuals, both inside and outside of the firm.
The right person can quickly tackle the learning curve, becoming a knowledgeable, valued member in a short period. They are passionate about being in a support role, comfortable with a high volume of scheduling and travel coordination and are great a building relationships.

The role offers a good work/life balance, hybrid 4 days onsite/1 day remote schedule, and amazing benefits and stability. Hours: 8:00am to 6:00pm.


Responsibilities:
• Create and manage daily heavy schedules and proactively keep Executives on schedule.
• Book complex domestic & global travel including detailed point-to-point itineraries & transportation logistics.
• Proactively manage all priorities, tasks, and deadlines and constantly remind Executives so all is completed in required time frame.
• Answer all incoming calls, often with extensive interaction and engagement to ensure the executive is fully informed of matters
• Prepare expense reports via Concur on timely basis.
• Serve as primary gatekeeper in-person, over the phone and via e-mail.
• Initiate correspondence relating to business affairs

Skills & Requirements:
• 5 + years of experience working as an EA supporting multiple client facing executives ideally in the finance industry
• Understanding of complex global travel arrangements, hotels, restaurants, airlines, airport clubs, and working across various time zones
• Excellent multi-tasking skills and organizational skills
• Remaining proactive and flexible is a must; the ability to work independently, anticipate needs/problems, use sound judgement when decision-making and manage schedules accordingly
• Superb communication skills in person, over the phone and via e-mail
• Great listening, observation, and networking skills
• Demonstrated ability to manage unexpected and urgent matters
• Ability to manage constantly changing and complex scheduling needs for very busy Executives
• Very detail oriented and able to work with little to no direction
