Meeting & Event Coordinator

This is an excellent opportunity for a strong administrative professional who enjoys balancing structured support work with creative and digital projects in a fast-paced environment.

Location: 1-2 days/week in Ridgewood, NJ – a lot of flexibility for remote work weekly – not necessary to go in every week

**Travel component: role requires national travel 20% and international travel 5%**

Hours: Monday–Friday, 9:00 AM–5:00 PM

Compensation: $65,000–$85,000 base salary, dependent on experience


The Meeting & Event Coordinator plays a vital role in the firm’s day-to-day operations, providing comprehensive administrative support while assisting with digital communications, webinars, and marketing initiatives. This role is ideal for someone who is 100% comfortable owning administrative responsibilities and is energized by adding a creative layer to their work.

Success in this position requires exceptional organization, attention to detail, and the ability to juggle multiple priorities in a fast-moving environment.


Key Responsibilities

Administrative Support

  • Provide day-to-day administrative support to management and event teams
  • Manage calendars, meetings, correspondence, and document preparation
  • Assist with event logistics, registrations, and attendee/member communications
  • Maintain databases, CRM records, and organized filing systems
  • Support member management and respond to event and registration inquiries
  • Liaise with vendors, suppliers, stakeholders, and association members

Digital Marketing & Communications Support

  • Design and update email marketing materials using Canva in line with brand guidelines
  • Prepare and distribute email campaigns for events, member communications, and initiatives
  • Assist with social media scheduling and basic content creation
  • Support website updates, including event listings and content edits
  • Manage and organize digital assets (templates, images, brand materials)
  • Track and report on basic engagement metrics (email open rates, clicks, social engagement)

Event & Association Support

  • Support marketing and promotion of meetings, webinars, and conferences
  • Assist with both virtual and onsite event execution as needed
  • Prepare marketing and event collateral (programs, banners, digital signage, etc.)
  • Support post-event communications, follow-ups, and reporting

Skills & Experience

  • Proven experience in an administrative, coordinator, or office support role
  • Hands-on experience using Canva for marketing or communications materials
  • Familiarity with email marketing platforms (Mailchimp, Constant Contact, or similar)
  • Strong written communication skills and exceptional attention to detail
  • Highly organized, proactive, and comfortable managing multiple priorities
  • Confident using Microsoft Office and Google Workspace
  • Interest or experience in events, associations, or digital marketing is a strong plus
