Executive Personal Assistant
An established Chicago-based security firm is seeking a top-tier Executive Personal Assistant to support the Founder and CEO. This is a high-trust, high-impact role for a polished, proactive professional who excels in both executive-level administrative support and discreet personal assistance.
The Executive Personal Assistant will serve as a true right hand to the CEO—anticipating needs, managing priorities, and ensuring seamless day-to-day operations across both professional and personal domains. The ideal candidate is highly organized, detail-oriented, and comfortable operating with minimal direction in a fast-paced environment.
Key Responsibilities
- Manage complex and evolving calendars, schedules, and logistics
- Act as a gatekeeper and liaison, directing communication and information flow to and from the Executive Office
- Conduct research across a broad range of topics and synthesize findings clearly and concisely
- Provide comprehensive administrative support, including document preparation and follow-through on priorities
- Deliver personal assistant support, including family scheduling, bill pay, and event coordination
- Anticipate needs and proactively resolve issues before they arise
- Handle sensitive and confidential matters with discretion and professionalism
Qualifications
- Bachelor’s degree required; advanced degree strongly preferred, with evidence of academic or intellectual distinction
- Exceptional written and verbal communication skills
- Strong research, analytical, and problem-solving capabilities
- Impeccable attention to detail and commitment to accuracy
- Willingness to take ownership of both high-level initiatives and day-to-day tasks
- Demonstrated “no task too small” mindset
- Outstanding professional references
