Finance and Administrative Coordinator

Our client is seeking a detail-oriented Finance and Administrative Coordinator to support our U.S. operations. This role acts as a key liaison between Sales, Finance, Logistics, and Procurement, ensuring smooth communication, accurate documentation, and efficient coordination across departments. The coordinator will also provide executive support and help drive operational efficiency in a dynamic work environment.

 

Key Responsibilities

  • Manage sales contracts, purchase orders, and vendor setup
  • Process invoices, track payments, and assist with bookkeeping and reconciliations
  • Coordinate incoming and outgoing shipments with logistics providers
  • Maintain inventory and order status updates in internal tracking systems
  • Handle transport and compliance documentation, including certificates of origin and other regulatory paperwork
  • Support customer communication throughout the after-sales process
  • Provide administrative and executive support to leadership
  • Ensure compliance with company policies and documentation standards

 

Qualifications

  • 2–5+ years of experience in a similar administrative, finance, or operations role
  • Experience with ERP or inventory systems (Dynamics 365 Business Central preferred)
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Ability to work independently and collaboratively in a fast-paced environment

 

Preferred Skills

  • Experience with logistics, procurement, or accounts payable
  • Familiarity with compliance procedures and document control
  • Ability to streamline workflows and improve operational efficiency
