Executive Assistant
A leading global investment bank in NYC is seeking an Executive Assistant to support their team. This role requires a highly organized, forward-thinking, and team-oriented professional with strong experience in calendar management, travel coordination, and expense processing. Location: New York, NY
Schedule: Hybrid – 4 days in office, 1 day remote (Can pick which day WFH)
Hours: 9:00 to 5:00 PM
Compensation: $80,000 – $90,000 base + eligible for overtime and discretionary bonus
About the Role: Supporting 5-6 Managing Directors
Responsibilities
- Manage complex calendars using Outlook; confirm internal and external meetings.
- Schedule meetings and coordinate logistics such as catering, guest access, conference room bookings, and video setup when needed.
- Arrange domestic and international travel, including flights, hotels, and ground transportation.
- Prepare, process, and track expense reports in accordance with company policy; follow up on receipts and reimbursement status as required.
- Serve as a gatekeeper, answering phones, screening calls, and relaying detailed messages.
- Assist in managing communication flow between leadership and the banking division.
- Maintain and update client records in Salesforce systems such as OneBanker and BoardEx.
- Support business unit initiatives and participate in projects as assigned by management.
- Collaborate with other administrative professionals and provide backup coverage when needed.
- Oversee general office operations including supply ordering and mail distribution.
- Edit, print, and bind PowerPoint presentations as requested.
- Act as liaison with the IT department for onboarding, offboarding, and technical troubleshooting.
Requirements
- 3+ years of administrative experience; financial services experience preferred.
- Experience using Concur for travel planning and expense management.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Strong written and verbal communication skills; professional interpersonal style.
- Calm and composed under pressure; consistently demonstrate professionalism.
- Capable of managing multiple priorities and adjusting quickly in a fast-paced environment.
- Detail-oriented with excellent organizational skills.
- Adapts well to change and responds to last-minute needs with a sense of urgency.
- Takes initiative and is eager to assist with responsibilities as they arise.
- Team player with a collaborative approach; able to work effectively with bankers, IT, HR, and other departments.
