Executive Assistant

A leading asset management firm is hiring for an intelligent and curious Executive Assistant to support their Co-President.  The ideal candidate has 1-2 years of experience, graduated from a top school, is highly driven, and has a genuine interest in learning more about the world of finance.

Salary commensurate with experience: $100-110k base + discretionary bonus + fully paid benefits, gym access, free lunch, and 401k.

Onsite Monday – Friday in Midtown NYC

Hours: 8:30am – 5:30pm with a 24/7 mentality as needed when things come up after hours

Qualifications:
• Bachelor’s degree required with a strong academic record
• 2+ years of administrative experience in a professional office setting (financial services experience preferred)
• Experience preparing expense reports and making travel arrangements
• Excellent time management skills and ability to multi-task and prioritize work in a fast-paced environment
• Highly motivated, result-oriented self-starter with good work ethic
• Proficiency in Microsoft Office Suite
• Strong organizational, time management, and communication skills

Responsibilities include:
• Answer phone calls with proper call screening, forwarding, and message taking.
• Schedule meetings and appointments, working closely with other assistants and gathering requested materials as necessary
• Coordinate international and domestic travel and reconciliation of expenses
• Liaise with clients and C suite executives, representing principal with professionalism at all time
• Attend meetings and take notes
• Create/Update Presentations and Documents
•Maintain contact list and filing systems as needed
•Track earnings calls
• Outlook email management and prioritization – helping draft communications on executive’s behalf
• Work closely with brokers, IR reps, Banks, and Portfolio Managers and help manage and schedule Investor Days and Conferences
