Executive Assistant to Partners

Executive Assistant to Partners A global investment firm is hiring for an Executive Assistant to support two Partners + two Managing Directors within their Private Equity division. This is a great opportunity to join a collaborative culture with strong ERG initiatives and an innovative office environment. Salary range: $125-135k base + discretionary bonus + fully covered insurance premiums, 401k match and 23 days PTO Location: Midtown East, NYC Hybrid: Monday – Thursday are in-office, with Remote Fridays offered Responsibilities include: • Manage an ever-changing Outlook calendar for 4 executives, scheduling for a high volume of calls, e-mails, and flow of communication. • Compose, draft, proof, edit, and finalize correspondence. • Plan monthly and weekly team meetings as requested. • Handle planning logistics for complex domestic and international trips using the travel agency; provide detailed itineraries, agendas, directions, and backup materials. • Prepare expense reports in timely manner ensuring accuracy. • Liaise with clients, investors, guests, and all personnel in professional manner. • Assist and provide phone coverage for additional executives when necessary. • Assist guests with general office support and reservations (travel, dinner, and local transportation, etc.). Qualifications: • 4+ years' experience providing administrative support in a financial institution. • Ability to manage highly sensitive, confidential information with discretion. • Ability to manage a high volume of work and prioritize tasks/projects based on urgency. • Strong focus on attention to detail, accuracy, and thoroughness. • Excellent verbal and written communication skills. • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); capable of quickly and accurately producing/editing spreadsheets and presentations.
