Executive Assistant – CEO & CFO, Experiential Agency

Our client, an experiential agency is seeking an organized, resourceful, and proactive Executive Assistant who thrives in a fast-paced, high-energy environment and is an excellent problem-solver. As the Executive Assistant, you'll play a critical role to our executive team—anticipating needs, streamlining operations, and handling the details that make a big difference. This is more than calendar management; it’s about being a trusted partner in a high-energy environment where no two days are the same

Typical hours: 8:30/9:00am- 5:30pm/6pm

Hybrid Schedule in MIDTOWN WEST



Responsibilities:

  • Executive Support: Manage complex calendars, prioritize meetings, and coordinate across time zones
  • Meeting & Travel Coordination: Schedule internal/external meetings, prepare agendas, take minutes, and book detailed domestic and international travel including travel itineraries
  • Project Support: Assist with high-level projects, follow up on action items, track deliverables, and ensure deadlines are met
  • Liaison Role: Serve as a point of contact between executives, teams, and external stakeholders
  • Discretion & Confidentiality: Handle sensitive information with the utmost professionalism and integrity

Qualifications:

  • 3+ years of experience supporting senior-level executives
  • Excellent written and verbal communication
  • Master of time management, organization, and communication
  • Ability to anticipate needs, stay one step ahead, and work independently
  • Calm under pressure, resourceful, and relentlessly detail-oriented
  • A natural relationship builder and trusted thought partner
