Personal/Travel Assistant - Family Office / Film Production Firm
Our client, the Head of a Film Production company, is seeking a highly polished and energetic Traveling Personal Assistant. Whether for an UHNW principal, Executive, or in another capacity, we need someone highly adept at coordinating detailed, ever changing, nuanced travel plans, both business and personal.
This role is ideal for a proactive, service-oriented professional who thrives in dynamic environments and is comfortable managing both business and personal tasks.
The position is based in New York City out of the office and requires frequent travel, often on short notice, both domestically and internationally.
The Personal Assistant will work in close collaboration with the Executive Assistant to ensure seamless support and continuity. Flexibility, discretion, and a commitment to excellence are essential.
Responsibilities:
• Accompany the executive on business travel, providing hands-on support and ensure all logistics are flawlessly executed.
• Coordinate travel arrangements, including flights, accommodations, ground transportation, and itineraries.
• Act as a liaison with hotels, vendors, and service providers to ensure a high standard of service.
• Maintain confidentiality and handle sensitive information with discretion.
• Collaborate closely with the Executive Assistant to align on priorities, scheduling, and task management.
• Support the executive with personal tasks and lifestyle management, both while traveling and in NYC.
Qualifications:
• Prior experience supporting a senior executive in a similar capacity, ideally with travel responsibilities.
• Exceptional organizational skills and attention to detail.
• Accustomed to handling confidential information and using the utmost discretion at all times.
• Professional demeanor and excellent interpersonal communication.
• Ability to anticipate needs and solve problems proactively.
• Comfortable with a flexible schedule and frequent travel.
• Tech-savvy and proficient in travel apps, calendar tools, and mobile communication platforms.
