Administrative Assistant - HR
A prestigious, global investment firm is hiring for a dynamic and proactive Administrative Assistant to support three senior-level professionals on their Human Resources team. The ideal candidate has 5+ years of Admin/EA experience and can work well in a team-driven working group, is highly motivated, and has demonstrated excellence in prior endeavors.
Salary commensurate with experience: $110-120k base range + paid OT + discretionary bonus + great benefits package, perks, free lunch, 401k match and PTO package
Hybrid – in office 4 days/week (1 day work from home) in Midtown East, NYC
Hours: 8:30am-5:30pm
Responsibilities include:
• Managing ever-changing, very busy Outlook calendars
• Overseeing and planning weekly and monthly meetings
• Event Planning and working on ad hoc projects
• Liaising with other organizations for scheduling and projects
• Answering calls and acting as a gatekeeper
• Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system
• Completing detailed corporate expenses including tracking receipts and reimbursements
• Coordinating travel arrangements (mainly domestic)
Qualifications:
• 5+ years of administrative assistant experience and event-planning experience is a plus
• Highly organized with strong attention to detail
• Multi-task and prioritize competing tasks and deadlines
• Proactive and works well within a team and with other assistants
• Works well with various levels of management
• Strong written and verbal communication skills
• Perform duties with the highest level of confidentiality and professional integrity
• Strong Microsoft Office skills and Concur experience is preferred
