Temp to Perm Administrative Assistant/Office Coordinator

Our client, an investment management firm, is looking for a Temp to Perm Administrative Assistant/Office Coordinator to support their New York office! The ideal candidate will be an experienced, self-starter who will require very little guidance.


This role starts asap with the potential to go permanent down the line.

Hours: 8:30am - 5:30pm

*Fully onsite

Located: Midtown East


Responsibilities:

  • Oversee daily administrative functions to ensure smooth office operations
  • Greet and assist clients, guests, and visitors
  • Manage guest registration and direct visitors to appropriate meeting rooms
  • Prepare conference rooms for meetings, including setup and refreshment orders
  • Answer, screen, and route calls and messages promptly and professionally
  • Maintain a clean, organized, and welcoming reception area
  • Provide accurate information and assistance in person, by phone, and via email
  • Receive, sort, and distribute incoming mail and deliveries
  • Schedule and update internal meetings as needed
  • Perform clerical tasks such as photocopying, filing, and document management
  • Monitor and maintain office equipment, ensuring supplies are stocked and systems operational
  • Support office upkeep, including restocking kitchen and pantry supplies

Skills:

  • Proficient in Microsoft Office
  • Previous experience in a similar office role
  • Self-starter who requires little direction
  • Strong attention to detail and ability to multi-task
  • Excellent time management and organizational skills
  • Strong verbal and written communication skills
