Executive Assistant – Government Consulting Firm

As Executive Assistant, you will be the primary liaison and support to two senior executives engaging government officials across cities in the United States and Latin America. In this role, you will manage and provide administrative and logistical support to the program’s executives, coordinating closely with multiple teams and key government partners. This role will require building strong relationships, managing complex scheduling, and supporting seamless execution of program activities.

This is a one-year contract position, with the possibility of extension based on program needs and performance.

Location: The office is in midtown NYC – ideally in office 1-2 days/week, but flexible.

Salary range commensurate with experience: $85k - $105k base range + excellent benefits package and PTO

Hours: 9:30am-5:30pm with flexibility as needed

Requirements and Qualifications:
• Fluency in English and Spanish required; proficiency in Portuguese preferred, not required
• An undergraduate degree and five years of relevant work experience working with senior executives
• Proficiency in Microsoft Word, Excel, and PowerPoint; and a proactive interest in leveraging AI-powered tools
• Authorization to work in the United States
• Strong interpersonal skills and extensive experience managing relationships with senior executives and government officials
• You are an energetic, civic-minded professional with exceptional organizational and communication skills. You understand the importance of executive time and how to manage it strategically
• Excellent judgment and the ability to navigate ambiguity in a complex organizational setting
• Demonstrated interest or experience in public policy, public administration, philanthropy, or nonprofit work
• Highly effective written and verbal communication skills, with the ability to synthesize information and communicate clearly
• Outstanding organizational skills and attention to detail, with the ability to manage multiple priorities and track logistics

Responsibilities include:
• Serve as the primary point of contact for program-related activities, communications, and inquiries
• Manage complex scheduling for program executives and partners, owning meeting logistics end-to-end, including scheduling, preparing agendas and materials, troubleshooting technology, and capturing and managing follow-up
• Maintain weekly meetings with the client to provide updates and support overall program coordination
• Draft internal and external communications, including emails, and responses on behalf of program executives
• Respond to ad hoc requests from executives, including managing follow-ups, questions, and outreach
• Support with travel planning and logistics for program executives and partners
• Collect, organize, and prepare program reports and data for analysis
• Surface recommended process improvements for program efforts
• Proactively anticipate needs and potential conflicts, ensuring leaders are always prepared for upcoming priorities or challenges
