Accounting & Administrative Associate

Our client, a financial services, is looking for a temp to perm Accounting & Administrative Associate to join their New York office! This role starts asap and will have the potential to go permanent down the line.

Location: Midtown (Fully Onsite)

Hours: 9am – 5pm

Responsibilities:

  • Maintain accurate bookkeeping records and support family office operations.
  • Oversee accounts payable/receivable, including invoice processing, contract compliance, and payment documentation.
  • Prepare and process checks, ACH, and wire transfers.
  • Manage accounting for real estate LLCs and track construction projects.
  • Monitor family office expenses, deadlines, and payments; reconcile bank and credit card accounts; support month- and quarter-end closings.
  • Maintain organized electronic and paper filing systems, including scanning, labeling, and archiving.
  • Liaise with internal teams, vendors, and property managers.
  • Track charitable contributions and maintain related documentation.
  • Manage password systems and access permissions securely.
  • Organize investment statements and track performance across hedge fund, private equity, and passive investments.
  • Assist in preparing financial reports, tax documentation, and ad hoc analysis.
  • Provide administrative support for office-wide initiatives and special projects.
  • Uphold strict confidentiality and best practices in data handling.


Qualifications:

  • Bachelor’s degree in Accounting
  • 2+ years of experience in bookkeeping, accounting, finance support, or administrative roles.
  • Prior experience in a family office, hedge fund, or investment management environment preferred.
  • Proficiency in MS Office Suite (Excel, Outlook, Word, PowerPoint).
  • Experience with QuickBooks
  • Strong communication skills
  • Highly organized, detail-oriented, and skilled at managing multiple priorities under deadlines.
  • Self-motivated, adaptable, and eager to learn.
  • Discretion and professionalism in handling sensitive information.
