Travel Manager / Single Family Office, NYC
This position will provide support to the aviation team and the family office, and will plan and schedule trips in accordance with the travel needs of the Principal and the Family Office. The position will provide timely and accurate trip scheduling, flight following, and passenger and crew manifests as well as work as part of the Travel Team to support the travel needs.
Responsibilities:
- Responsible for managing all aspects of private and commercial travel, both domestic and international (e.g., air, hotel, and ground transportation)
- Responsible for preparing complex travel itineraries across multiple destinations, calmly managing last-minute changes and updates
- Work closely with travelers, providing a high-touch travel planning experience
- Manage scheduling and utilization of internal aircraft fleet as well as charter aircraft
- Monitor trip execution and communicating real time changes to the flight crew, responding timely outside of “regular” business hours
- Respond to inquiries and requests for assistance of a highly confidential nature
- Coordinate dining reservations, catering services, and restaurant recommendations for the Principal and his guests, taking dietary and culinary preferences into account
- Maintain current knowledge of aviation rules and regulations and adapting to company flight operations procedures
- Keep and maintain all records and filing systems
- Occasional travel (domestic and international) up to 10% of the time
Qualifications:
- At least 5 years of proven experience managing all aspects of private and commercial travel, private family office experience highly desirable
- Proficiency in travel booking systems and software as well as excellent computer skills, Mac and Google Workspace experience
- Demonstrated professionalism, discretion, and experience working with highly confidential information
- Experience providing white glove support to high-net worth individuals
- Excellent organizational skills and exceptional attention to detail, with an emphasis on accuracy and completeness of task
- Flexibility, integrity, and creative problem-solving skills
- Strong verbal, written, and telephone communication skills
- Ability to accommodate frequent, last-minute changes in a high pressure environment efficiently and effectively maintaining a calm demeanor
- Ability to develop strong partnerships with other teams and with outside vendors
- Longevity in past positions, excellent references from past employers
- Must have and express a positive approach to problems and situations that may arise
This role will pay between $150k-175k with generous package.
