Studio Executive Assistant
Job Title: Studio Executive Assistant
Location: San Francisco – Onsite
Salary: $90-110k
A premier interior designer in SF is seeking an experienced Studio Executive Assistant to provide comprehensive administrative support to the Design Principal, Studio Director, and the Studio Administrative Team. This is a fast-paced, detail-oriented role that requires exceptional organizational skills, a polished professional presence, and the ability to juggle multiple priorities with discretion and efficiency.
The ideal candidate will bring three to five years of experience supporting multiple senior leaders, preferably within a creative, interior design, or architectural environment. This role offers the opportunity to be at the center of operations, working closely with leadership to ensure the studio functions smoothly and client needs are met at the highest standard.
Key Responsibilities
Executive & Administrative Support
• Manage the Design Principal’s business and social calendars, ensuring all parties are informed of updates and changes
• Coordinate client meetings, internal studio meetings, and special events
• Review and manage daily emails, delegating and prioritizing as appropriate
• Prepare weekly meeting agendas and follow up on action items
• Maintain accurate daily time tracking and verify billable client hours
Travel & Event Coordination
• Arrange complex domestic and international travel for studio staff, including detailed itineraries and documentation
• Support the planning and execution of business and personal events and gatherings
• Assist with logistics for project installations in collaboration with project managers and design teams
Operations & Communication
• Act as liaison between leadership, clients, and vendors, ensuring a high level of professionalism in all interactions
• Distribute client and project meeting notes to the design team
• Assist with special projects, research, pricing, and general clerical tasks including photocopying, mailing, filing, and preparing packages for delivery
Qualifications
• 3-5+ years of administrative or executive support experience to multiple senior leaders
• Professional demeanor with excellent verbal and written communication skills
• Strong organizational skills with meticulous attention to detail and accuracy
• Proficient in Microsoft Office Suite (Excel, Outlook, PowerPoint) and comfortable on both Mac and PC platforms
• Demonstrated ability to prioritize, problem-solve, and adapt in a fast-paced environment
• Experience booking travel and managing event logistics
• Collaborative, team-oriented mindset with a proactive approach
• Exceptional attendance, punctuality, and flexibility to work overtime as needed
Preferred Experience
• Previous experience in an interior design, architectural, or creative studio environment
