Office Manager - Fintech Start-up!
A rapidly growing and well-funded Financial AI firm is seeking a solutions-oriented Office Manager for their Manhattan office. They are a highly curious, in-person, ambitious, fast-moving culture and seeking someone who can be the go-to person for keeping office operations seamless and the environment thriving. This role is essential to creating a workspace where people feel energized, supported, and focused. From inventory and IT troubleshooting to vendor coordination and guest experience, you’ll own the behind-the-scenes logistics that helps the team do their best work.
This role is in office 5x week.
Responsibilities:
• Oversee day-to-day office functions, ensuring a clean, organized, and fully stocked workspace
• Manage office inventory and supply ordering, including kitchen and office materials
• Serve as the point of contact for building management and maintenance vendors
• Handle minor IT troubleshooting and escalate tech issues to our IT team as needed
• Manage relationships with external vendors (cleaning, food, office supplies, etc.)
• Track and manage office operations budgets, expenses, and invoicing
• Negotiate pricing and contracts with service providers when needed
• Coordinate in-office client meetings, including space setup and catering
• Assist in planning and executing team events, holiday parties, off-sites, and social gatherings
• Support employee engagement initiatives that reinforce our values and culture
• Ensure all visitors and guests have a professional and welcoming experience
• Monitor office access, mail, and deliveries and security
• Support onboarding of new hires with desk setup, equipment, and welcome materials
Qualifications:
• 3+ years of experience in an office management, workplace services or operations role, ideally at a startup or fast-growing company
• Strong communication and interpersonal skills
• Experience managing budgets and vendor relationships
• Proficiency in Microsoft Office, Google Workspace, and basic IT tools
