Operations Manager/Director

A leading boutique talent agency representing clients across entertainment, fashion, and media is seeking a part-time Operations Manager. This role will report directly to the Founder/CEO and oversee the logistical, financial, and human resources operations of the business. The ideal candidate will be detail-oriented, proactive, and discreet, with a strong background in operations and people management.

This is a 30-hour-per-week role offering flexibility and the option to work hybrid or fully remote.

Responsibilities:

Finance & Bookkeeping

  • Generate and send vendor invoices; follow up on past-due payments
  • Reconcile payments and manage the vendor/client payment system
  • Process and track client payments
  • Review and approve employee expense reports
  • Reconcile monthly bank and credit card statements
  • Liaise with external CPA for quarterly needs and year-end 1099 distribution

Human Resources

  • Maintain accurate and up-to-date employee files
  • Review and approve timecards for non-exempt staff
  • Manage PTO requests and coordinate coverage plans with the CEO
  • Assist in managing HR matters as needed
  • Maintain and update job descriptions
  • Manage recruitment efforts, including coordination with external recruiters
  • Oversee payroll systems and benefits administration in partnership with platforms such as Justworks

Operations & Office Management

  • Coordinate special projects and support the CEO on operations initiatives
  • Manage subscriptions and troubleshoot operational platforms (QuickBooks Online, G-Suite, Dropbox, Slack, Expensify, Justworks, etc.)
  • Oversee mobile device management (Jamf), computer setup, maintenance, and replacements
  • Coordinate with insurance brokers for timely updates, renewals, and payments
  • Manage co-working space memberships (e.g., Soho Works) and review alternatives as needed

Qualifications:

  • 6+ years of experience in operations, finance, or chief-of-staff roles
  • Proficiency in Microsoft Excel
  • Working knowledge of QuickBooks Online (QBO)
  • Familiarity with Coupa, Ariba, and Justworks or comparable platforms
  • Experience with vendor agreements and payments
  • Strong organizational, communication, and problem-solving skills

Compensation and Benefits:

  • $80,000–120,000 base salary
  • Discretionary annual bonus

  • Hybrid or remote based in the U.S. (NYC preferred but not required)
