Senior Executive Assistant to Managing Partner - Private Equity

The Executive Assistant to a Co-Managing Partner will be responsible for providing comprehensive support to the Partner, managing the day-to-day operations of the executive office, and ensuring efficient communication and coordination across the organization. You will be the steward of their time, coordinating internally and externally to plan seamless meetings, travel, and offsites. The ideal candidate is a strategic thinker with exceptional organizational skills, capable of managing multiple priorities with a high degree of professionalism and confidentiality.

Responsibilities:
Administrative Support
-Manage and prioritize the Partner’s calendar, scheduling meetings, appointments, interviews, and travel arrangements.
-Handle correspondence, emails, and phone calls, ensuring timely and appropriate responses.
-Collaborate with other Executive Assistants for critical company processes including weekly, monthly and quarterly internal meetings
-Organize and maintain files, records, and documentation.

Project Management:
-Support the Partner in all daily duties, understand key priorities, and build processes to make the organization more effective
-Assist in the planning and execution of strategic initiatives and special projects.
-Track progress on various projects, ensuring deadlines are met and deliverables are achieved.

Communication & Coordination:
-Act as a liaison between the Partner and other partners, employees, clients, and stakeholders.
-Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
-Ensure clear and consistent communication across the organization.

Travel & Event Planning:
-Arrange complex domestic and international travel itineraries, including flights, accommodations, dining reservations, and ground transportation.
-Plan and coordinate company events, conferences, and executive off-sites.

Requirements:
-5+ years of administrative experience in a fast-paced environment, 3+ of those years supporting at the Founder / CEO / Partner level.
-Excellent organizational, problem-solving, time-management and prioritization skills
-Outstanding written and verbal communication, as well as listening skills
-Strong team-player attitude; needs to work well under pressure and be adaptable in the face of changing priorities
-Expert with G-Suite (Google Calendar, Gmail, Google docs, Google sheets, etc.)
-High degree of discretion and integrity, especially when taking care of confidential information
-Strong problem-solving skills and attention to detail.
-High level of professionalism and interpersonal skills.
-Experience with Google Suite, Slack, DocuSign, and Adobe Sign
-Undergraduate degree
