Executive Assistant
A prestigious global investment firm is seeking a polished and highly capable Executive Assistant, full-time, hybrid role based in their San Francisco office. This opportunity is ideal for a seasoned professional with strong judgment, exceptional organizational skills, and the ability to thrive in a fast-paced, high-performance environment. The role offers the chance to support senior leadership at one of the world’s most respected investment platforms.
Compensation: $90,000–$120,000/year
Responsibilities:
- Deliver high-level, white-glove support to senior executives, ensuring their time and priorities are managed effectively.
- Manage complex, multi-time zone calendars; schedule meetings, calls, and internal/external appointments.
- Coordinate all aspects of domestic and international travel, including flights, hotel accommodations, ground transportation, and detailed itineraries.
- Screen and manage incoming communications with discretion and professionalism.
- Prepare and process accurate expense reports and reimbursement submissions.
- Support personal administrative needs as required to facilitate seamless day-to-day operations.
- Partner with the broader Executive Assistant team to ensure cross-departmental coordination.
- Assist with scheduling and hosting meetings (in-person and virtual); book rooms and handle logistics.
- Act as a trusted point of contact for internal and external stakeholders.
- Provide coverage for other executives and special projects as needed.
Requirements:
- 6–10+ years of Executive Assistant experience.
- Experience supporting senior leadership; financial services background strongly preferred.
- Expert-level proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Exceptional written and verbal communication skills with a professional and approachable demeanor.
- Outstanding attention to detail, organizational skills, and ability to manage competing priorities.
- Demonstrated discretion, reliability, and sound judgment.
- Must be comfortable working onsite four days per week with one remote day, based out of the firm’s San Francisco office.
