Executive Assistant to the General Counsel
A global investment firm is seeking an experienced Executive Assistant to support their General Counsel in a fast-paced, high-performance environment. In addition to executive support, this position will take on key Legal coordination responsibilities, tracking projects, ensuring compliance, and streamlining administrative processes. The position requires someone who is eager, proactive, adaptable, and thrives in a dynamic environment while maintaining the highest standards of professionalism.
Compensation commensurate with experience: 115-130k base range + paid OT (non-exempt) + discretionary bonus + generous benefits package - fully paid benefits, 401k, and additional perks
Location: Monday - Friday in Greenwich, CT (with flexibility to travel to the Midtown NYC office if needed)
Hours: 8:30am-5:30pm in the office with a 24/7 mentality for urgent needs
Responsibilities:
• Serve as a trusted partner to the GC, managing a complex calendar and ensuring seamless scheduling across multiple time zones.
• Handle sensitive information with the utmost confidentiality and discretion, making independent decisions to safeguard business priorities.
• Manage domestic and international travel, including arranging transportation, reserving accommodations, preparing a detailed itinerary, and coordinating materials.
• Draft high-level correspondence, presentations, and briefing materials with exceptional attention to detail.
• Act as a gatekeeper and problem solver, managing incoming requests and ensuring the GC’s time is optimized and multiple projects remain on track.
• Answer the telephone and communicate appropriate information to connect callers or to relay messages.
• Assemble and organize materials for meetings, calls and travel.
• Take proactive and follow-up actions to ensure completion of tasks in a timely manner.
• Some personal support may be required.
Qualifications:
• 7+ years of C suite EA support experience, ideally with a background in financial services
• Undergraduate degree from accredited College/University required.
• Exercises sound judgment, protects confidential information, and operates with professionalism.
• Handles high-pressure situations with grace, maintains composure, and engages with stakeholders at all levels with diplomacy.
• Dedicated, reliable, thorough and professional, with a hands-on attitude and willingness to perform all responsibilities required for success.
• Thrives in a fast-paced, high-expectation environment, adjusting to changing priorities seamlessly.
• Anticipates needs, takes initiative, and drives solutions before issues arise. Strong organizational skills, attention to detail and ability to prioritize.
• Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook). Experience with HRIS or reporting systems is helpful but not necessary.
• Available to provide support nights and/or weekends.
