Executive Assistant

Our client, a highly respected boutique merchant and investment banking firm, is seeking an Executive Assistant to provide vital administrative and operational support to senior leadership. This is a dynamic opportunity for an organized, detail-oriented professional who excels in managing complex priorities and thrives in a high-pressure setting.

Responsibilities:

  • Act as a primary liaison between executives and internal/external stakeholders, managing communications and ensuring smooth information flow.
  • Manage complex scheduling and calendar coordination, including arranging multi-day, domestic and international roadshows and meetings with existing and prospective investors.
  • Coordinate detailed travel arrangements, including flights, hotels, ground transportation, and comprehensive itineraries.
  • Prepare meeting briefings and background notes using CRM and database information to support investor meetings and fundraising activities.
  • Assist with CRM data entry and reporting, maintaining investor contacts, and tracking fundraising prospects.
  • Oversee event coordination for on-site investor meetings and larger firm events.
  • Provide administrative support, including correspondence, recordkeeping, and managing confidential information.
  • Collaborate closely with fellow administrative team members to deliver seamless, coordinated support across the organization.
  • Proactively anticipate needs, take initiative, and adapt to shifting priorities in a fast-moving environment.

Qualifications:

  • Professional communication style with strong interpersonal skills, effective in both internal and external-facing interactions.
  • Responsive to deadlines with a strong sense of urgency.
  • Proactive self-starter with exceptional attention to detail and organizational skills.
  • Ability to multitask and manage complex schedules, adapting to unforeseen developments.
  • Some knowledge of private equity or related financial sectors is preferred.

Preferred Experience:

  • Bachelor’s degree preferred.
  • 8+ years of experience supporting senior executives, ideally within financial services or other professional, high-paced environments.
