Administrative Manager & EA to Leadership

A global, prestigious hedge fund is seeking an experienced Administrative Manager to directly manage their team of 11 EAs, along with providing direct Executive Assistant daily support to the COO and Head of HR, operating as a player/coach.

Salary range commensurate with experience $140-175k base range + disc bonus  + top of the line benefits package

Hours: 8:30am-5:30pm – flexible as needed
Onsite 5 days/week in Midtown East

Responsibilities include:
• Oversee development of and management toward EA team goals, support team building and retention  efforts, recruit new hires when needed, manage budget planning for team
• Develop in-depth understanding of direct reports’ workflows to facilitate training, coaching and maintain a high level of service from the team
• Manage work assignments for direct reports
• Provide EA support to two senior executives -  Coordination of internal and external meetings, adjusting schedule as priorities change
• Handle onboarding and training and event planning
•  Book travel arrangements including flight, hotel, and ground transportation and process expense reports

Experience Desired:
• Bachelor’s degree required
• Minimum 8 years of EA experience, preferably within financial services (preferred, but not required)
• 2+ years management experience; if not previously a direct manager, then experience required in a role  providing significant oversight to team members (onboarding, training, coaching, delivering feedback, creating staffing plans)
• Proficiency in Microsoft Office (e.g., Excel, Word, PowerPoint, and Outlook) and related software
• Strong time management skills: ability to effectively balance multiple tasks with competing priorities
• Excellent organization skills and detail oriented
• Sense of ownership for the team’s output
• Proactive in following up on details, anticipating issues, and closing the loop on all requests
• Ability to exercise discretion when managing confidential information, working across multiple teams and functions
• Mature and strong inter-personal skills; able to interact professionally with peers and senior level management, provide feedback to reports and oversee sensitive situations
• Excellent grammar, written and verbal communication skills
