Executive Personal Assistant to Private UHNWI
An accomplished tech entrepreneur is seeking a highly organized, tech-savvy, and proactive Executive Personal Assistant. You’ll play a critical role in ensuring smooth day-to-day operations, managing priorities, and helping bring big ideas to life. This role involves providing comprehensive personal and administrative support, including managing schedules, assisting with communications, and overseeing daily business needs. The ideal candidate will demonstrate discretion, agility, and the ability to anticipate and respond to evolving priorities in a dynamic, fast-paced environment. This is a remote role that requires onsite availability as needed. Candidates should be based in the Seattle area for occasional household support.
Key Responsibilities:
Executive Support
• Manage and maintain complex, dynamic calendars
• Coordinate detailed domestic and international travel itineraries
• Oversee meeting scheduling, confirmations, and follow-ups
• Manage professional and personal vendors, service providers, and contracts
• Organize, review, and process administrative paperwork.
• Maintain organized records and filing systems (both digital and physical).
• Manage calendars, appointments, meetings, and domestic travel logistics.
• Draft, proofread, and respond to correspondence including emails and letters.
• Prepare presentations, reports, and materials for meetings or events.
• Track expenses, manage reconciliations, and process invoices accurately and confidentially.
• Conduct research and compile data to support decision-making.
• Coordinate with vendors, service providers, and internal staff.
• Proactively identify and address operational needs.
• Support occasional domestic travel as needed to assist the principal or household operations.
Personal Support
• Coordinate personal errands, appointments, and household logistics
• Assist with online purchases, reservations, gifting, and travel arrangements
• Manage personal and family calendars, including special events and milestones
• Track and manage important deadlines, renewals, subscriptions, and reminders
What We’re Looking For
• 5+ years’ experience as an Executive Personal Assistant supporting UHNWI’s in a fast-paced environment
• Tech-savvy and quick to adapt to new systems with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workplace
• Highly organized with strong attention to detail and follow-through.
• Exceptional written and verbal communication skills.
• Trusted with sensitive information; exercises sound judgment and discretion.
• Self-directed with a proactive and anticipatory mindset.
• Demonstrated ability to manage administrative workflows effectively.
