Executive Assistant
A prestigious hedge fund is hiring for an Executive Assistant to support the Head of a Global Division, working closely with the Chief of Staff. This role reports into the Chief of Staff and is a great opportunity to provide daily administrative support to an innovative leader, while being mentored by the CoS. This is a great role for an ambitious candidate who is eager to continue to grow in their career, even outside of an EA role after a few years. This role demands a highly organized candidate who can juggle multiple, sometimes competing, priorities seamlessly with unwavering professionalism, discretion, and exceptional judgement.
Compensation Commensurate with Experience: $100-150k base + discretionary bonus + excellent benefits package
Location/Hybrid: 4 days/week – Monday – Thursday onsite in Midtown East
Hours: 8am-6pm with flexibility required
Responsibilities include:
• Act as a gatekeeper for the department head, serving as first point of contact on incoming scheduling and administrative requests.
• Proactively managing the Outlook calendar, contacts, travel arrangements, conferences, and meetings.
• In collaboration with the Chief of Staff, arrange and schedule numerous meetings; maintain and update calendars; serve as first-line of defense with the high volume of communications of phone and email
• Maintain records, organize files, and ensure easy access to important documents.
• Provide support in managing projects and deadlines with the Chief of Staff to ensure the executive is well-prepared and organized.
• Handle confidential and sensitive information with discretion and integrity
Qualifications:
• 2+ years of EA/Administrative experience
• Extensive experience managing high volume scheduling or calendars
• Effective written and oral communication skills with strong attention to detail
• Excellent organizational skills and an ability to juggle multiple responsibilities
• Ability to independently anticipate problems and enjoys collaborative problem solving
• Agility; capable of adapting to unexpected changes and rapidly evolving situations
• Ability to think proactively
• Proficiency with Microsoft Outlook and Word and Familiarity with Microsoft Excel and PowerPoint.
