Chief of Staff/Executive Assistant

Our client based in San Jose is building breakthrough technology at the edge of what’s possible in AI. They have assembled some of the best minds in engineering, AI research, and systems architecture. Now, they are looking for a highly capable, intensely driven individual to work directly alongside the COO in a high-leverage, high-trust role.

This is not a traditional position. You’ll be embedded in the core of the company’s operations, helping to drive strategic initiatives, ensure seamless execution, and scale a team building one of the most important technologies of our time.

This role is based in San Jose and requires 5 days onsite and extended hours

What You’ll Do

Tactical Execution
- Own and manage the COO's calendar, communications, and priorities
- Anticipate needs, resolve issues before they arise, and drive follow-through across critical projects
- Coordinate high-impact meetings, investor touchpoints, and complex travel schedules
- Lead execution of internal milestones — executive meetings, offsites, events, and key onboarding moments
- Act as a trusted point of contact between the President and team, ensuring smooth information flow
- Provide personal support to executive including errands, vendor management, gift purchasing, etc.
People & Culture
- Shape team culture and internal rituals that promote alignment and cohesion
- Monitor team health and flag potential issues before they escalate
- Support morale and clarity through fast-paced growth and change
Strategic Support
- Help define, communicate, and track company priorities and OKRs
- Contribute to organizational design, headcount planning, and cross-functional alignment
- Prepare strategic materials for board meetings, investor updates, and internal reviews
- Own research or ad hoc initiatives critical to long-term company success
- Jump into operational gaps and help solve key challenges as they emerge

About You
- 2-5+ years Experience supporting a founder, executive, or senior leader in a fast-paced or high-growth environment
- Hyper-organized and detail-obsessed — you never drop the ball
- Exceptional communicator with strong judgment and a bias for clarity
- Highly trustworthy — you’ll have access to strategic, sensitive information
- Thrive in high-intensity settings with high standards and long hours
- Operationally sharp with experience in internal communications, events, or team ops (a plus)
- Flexible schedule to work extended hours outside of normal business hours
- Resides in the South Bay or Peninsula
- 24/7 mentality
