Our client, a private, high-net-worth family based in Philadelphia to identify an experienced Executive Personal Assistant. This individual will provide high-level administrative, operational, and personal support across a wide range of responsibilities—from calendar and travel coordination to estate planning, philanthropic initiatives, and family-related projects. This is a hybrid role requiring exceptional discretion, professionalism, and a proactive approach.
Key Responsibilities:
- Act as a trusted gatekeeper and liaison for the family; manage complex calendars, schedule appointments, and coordinate personal and professional engagements.
- Oversee detailed travel coordination—including booking flights, hotels, car services, and other arrangements—while producing seamless, well-researched itineraries.
- Assist with estate and household management, including vendor communication, service appointments, and oversight of domestic staff as needed.
- Support philanthropic initiatives through research, scheduling, event coordination, and donation tracking.
- Maintain and reconcile financial records and expense reports with a high degree of accuracy and confidentiality.
- Coordinate logistics for family-related events, holidays, and special projects.
- Provide ad hoc support and handle confidential information with the utmost discretion and trustworthiness.
Qualifications:
- 5–10+ years of experience in a personal or executive assistant role supporting a private individual or family.
- Proven track record coordinating high-touch, international travel and navigating time zones, visa requirements, and last-minute changes.
- Strong financial acumen and experience with budgeting, invoicing, and expense reporting.
- High EQ, good judgment, and the ability to anticipate needs and respond proactively.
- Tech-savvy with proficiency in Google Suite, Microsoft Office, and travel booking platforms.
- Discreet, reliable, and adaptable; able to thrive in a fast-paced, ever-evolving environment.
Salary DOE, $135k-175k
